The works and professions associated with specialized secretarial specializations are numerous, as they include secretarial work, as well as works associated with specialized secretarial work, such as legal, medical, and tourism secretarial work.

Secretariat:Secretary tasks include implementing and coordinating office activities and accurately passing information to employees and clients. Managers, professionals, and workers in institutions, companies, and various economic establishments rely on secretarial tasks in managing administrative operations. The tasks assigned to the secretariat differ, depending on the level of responsibility it bears, and the type of establishment in which it works. Secretarial work includes a set of office and administrative tasks necessary to run the organization's business effectively, including: scheduling appointments, answering inquiries, transferring information over the phone, organizing files, filling out forms, writing and printing letters, making travel and appointment arrangements, contacting clients, and other tasks. Secretarial work has evolved to include operating personal computers and using them to process words, create tables and databases, and use them in the fields of publishing, design, and searching for the necessary information. Tasks also require proficiency in Arabic and English, both written and spoken. Secretarial duties must be proficient in the use of office equipment such as fax, computer, photocopier and telephone-connected recording devices. Secretarial workers can work in several specialized fields, some of which require them to obtain additional specialized skills and competencies:

Specialized secretarial duties:In addition to general secretarial duties, some secretaries carry out specialized tasks that require knowledge of technical terms, issues and transactions related to the profession:

  • Legal secretarial duties:They work in one of the different fields of law, so their duties become, in addition to general administrative duties: preparing letters and legal documents such as summonses, petitions and complaints, reviewing legal journals and assisting in conducting legal research.
  • Medical secretaries: They carry out the tasks of preparing letters and assisting doctors in preparing reports and research, in preparing for medical conferences, making medical records and arranging for patients to be admitted to the hospital, supervising the purchase of medical supplies, issuing and paying medical bills, dealing with medical laboratories, in addition to general administrative tasks.
  • Tourism secretaries: They work in various fields of tourism activities from travel agencies, hotels and tourist facilities, so their tasks become, in addition to general administrative tasks:Making reservations, contacting airlines, hotels and various facilities, and following up on prices and offers in tourism offices, in addition to tasks related to following up on the initial administrative and financial matters of workers in hotels and tourist facilities, in addition to organizing and arranging the various aspects of conferences and events and dealing with invitees, as well as knowing the terminology of the profession and its requirements.

2- Description of the specialty: The competencies required to perform these tasks: (The competencies and skills that are trained in vocational education and training institutions to be able to practice the professions related to the secretarial specialty / administrative secretarial / specialized secretarial according to the description above)

To perform the previous tasks, the administrative and secretarial profession needs to obtain the competencies of knowledge, skills and attitudes necessary for that, starting from general competencies in the field of communication, interaction and dealing, and empowerment, to know how to deal with customers and the public and communicate with them, to specialized competencies in the field of skills in using various computer programs, accounting and bookkeeping skills, and using language skills in writing and conversation to include Arabic and English, and knowledge of the terminology of the profession in both languages. It also includes the skills of filling out forms, registration, organization and archiving, and requires specialized skills in the event of working in specialized fields from knowledge of the terminology of the profession, and carrying out transactions related to the profession. And the use of various office equipment, knowledge of public safety procedures, the necessary life skills and character building necessary to carry out the required tasks, and the competencies that enable him to carry out the necessary tasks in the description of the profession (which are the qualifications required for the labor market), in addition to mastering the skills of modern technology that the labor market needs.

2- Work environment, workplaces and the possibility of professional development:

1- Workplaces
  • Public sector institutions from various governmental and non-governmental institutions
  • Health facilities: hospitals, medical centers, laboratories and clinics
  • Legal facilities: law offices, legal services offices, public legal facilities
  • Tourist facilities: tourism and travel offices, hotels and tourist facilities

2- Professional development
The secretary's work may begin with receiving, typing, and basic office work, then progress to drafting letters and reports, and the tasks increase. The secretary is now an executive assistant or administrative assistant. It performs several diverse and complex tasks that require vigilance, follow-up, and follow-up at the same time, with an equal degree of efficiency.
Responsibilities may increase according to the employee's development to become an office manager, administrative manager/administrative coordinator, etc., through increasing experience and acquiring more knowledge and skills.
In addition, income and employment are linked to the general economic situation, but statistics have shown a high ability for vocational graduates to find work and develop in the field of the profession.

3-Qualification for the profession: (training locations, forms, admission requirements, and the possibility of completing education)

1- Vocational training locations
Some centers provide training in secretarial or administrative secretarial only, and others add medical and tourism secretarial services, which qualifies graduates of each to work in different fields.

2. Admission requirements:
  • Varies according to the vocational education and training institution
  • Some centers require that the student has a high school completion certificate before taking the exam.
  • Pass the written admission exam in English
  • Some centers also allocate this training to girls only.

3- Completing education and professional development:

  • Students can complete their education and obtain a university degree while in these courses. However, the training provided by vocational training centers in specialized secretarial fields qualifies students to enter the labor market without the need to complete their university education.
  • These centers also grant students a professional diploma in the field of specialized secretarial work.
  • Graduates can complete their development through specialized courses that contribute to professional development.
