Secretariat: The tasks of the secretariat include implementing and coordinating office activities and accurately passing information to employees and clients, and it depends on Managers, professionals and workers in institutions, companies and various economic establishments are responsible for secretarial tasks in managing administrative operations. The tasks assigned to the secretarial role vary according to the level of responsibility they bear and the type of establishment they work in. The secretarial role includes a set of office and administrative tasks necessary to manage the organization's business effectively, including: scheduling appointments, answering inquiries, transferring information over the phone, organizing files, filling out forms, writing and printing letters, making travel and appointment arrangements, contacting clients and other tasks. Secretarial work has evolved to include operating personal computers and using them to process texts, create tables and databases, and use them in the fields of publishing, design and searching for the necessary information. The tasks also require proficiency in Arabic and English, both written and spoken. Secretarial duties must be proficient in the use of office equipment such as fax, computer, photocopier, and telephone-connected recording devices. Secretarial workers can work in several specialized fields, some of which require them to obtain additional specialized skills and competencies: Executive secretarial duties or administrative assistance: Executive secretarial duties have become focused on public relations, such as receiving visitors, arranging meetings and conferences, and answering letters, in addition to performing the previous secretarial duties. The executive secretariat also undertakes other more complex tasks such as preparing statistical research and reports, training new employees, following up on employee issues and affairs within its specialization, and following up on financial matters within its specialization.
In large institutions and establishments, the secretariat’s tasks may be limited to reception, storage, printing, or archiving.
